At the college where I work it's strongly encouraged that we volunteer to help out at graduation. I've worked there for almost 2 years now and have finally done so. It's one of those things that can help or harm you from being able to be promoted.

I got my job duties today.

Thank you for volunteering your time to help with the upcoming graduation. The Winter Commencement Ceremony is Saturday, January 29, 2011 and begins at 9:30 a.m. The procession of gradates begins at 9:10 a.m. You are assigned to main the entrances to the parking structure and two parking lots, which have been secured for Bellevue University staff, faculty, and Board of Directors. D*** D******* is your team leader and contact person for directives.


Please arrive at the Civic Auditorium at 6:00 a.m. and proceed to the faculty and usher dressing area (Lady Jays’ locker room), and meet with your team leader, D*** D******, for further instruction. The ushers begin arriving at 6:45 a.m., the faculty at 8:00 a.m., and the Board of Directors at 8:30 – 9:00 a.m. The ceremony should last approximately two hours.

The week before Graduation:
•    Pick up walkie-talkies from M***** A******* to converse with J**** M******** while working different areas.
•    Get the Parking Vests, extra Garage passes, and hand/toe warmers from M***** A*******.


Saturday morning, arrive at Civic Auditorium at 6:00 a.m.

•    The Parking Garage:
•    is for Faculty, they will have special colored passes and need to be shown where to park - in the top parking lot or parking structure.
•    Lower parking lot outside is for volunteer staff, they will have parking passes. Only people with parking passes can park in the lot.
•    The faculty will get passes to park in the parking garage, their garage passes will be a different color than the VIPs. The faculty and anyone else who chooses to park in the garage can park wherever they choose.
•    Make sure walkie-talkies work and you are on the right channel to converse with each other. The team lead (D*** D*******) will have a headset to speak with J***** M*******.
•    Have at least one person cover the entrances to the bottom parking lot.
•    Make sure that some extra spots are saved for important staff that does not have passes.

o    Staff Volunteers begin arriving to the parking lot at 6:45 a.m.
o    Board Members usually begin arriving at 8:45 – 9:15 a.m.,
o    Wait until 9:45 and then go inside (ceremony starts at 9:30 a.m.).

o    After the Ceremony:

o    Once the platform party leaves the arena, we would like all the volunteers to form a line on the ramps and into the Exhibition Hall to help guide the graduates down into the back part of the Exhibition Hall.

o     Load the maintenance van with:
o    The left over diploma covers they will be on stage-boxes will be nearby ask Registrar’s Office.
o    The left over programs will be up in the main entrance
o    Take down the B.U. banner in the Ex Hall and load into the van or car.

o    Check to see if anyone needs help with anything else before leaving.
Translation: January in Omaha. Stand outside at 6 am. Stay there all day. Then help load a truck & go home.
 
You should offer to DJ the ceremony instead. March across the stage, boom! perfect time for the chicken dance.
